Position Overview:

This position is responsible for supporting the Land Department in managing due diligence investigation, entitlement, and engineering of new communities within the company’s Ashton Woods and Starlight Divisions. Important functions include coordination, processing, and/or tracking of document/ plan management, invoicing, fee payment, and permitting associated with securing approvals of development plans for new communities.

Duties and Responsibilities (Including but not limited to):

  1. Coordinate procurement of address lists from governing bodies, assessor’s parcel numbers, and other community specific documents. Generate, update, and distribute list.
  2. Process and track all fee payments, check requests, and electronic payments associated with land entitlements.
  3. Consultant vendor setup and insurance compliance.
  4. Ensure all land entitlement invoices meet necessary internal requirements and budget coding before submitting to Accounts Payable for payment.
  5. Ensure that job files for each community are updated and complete.
  6. Order and track all entitlement financial assurances required for dry utilities for new communities.
  7. Assemble, label, file and track improvement plans and plats during the entitlement process. Generate tracking report.
  8. Setup and maintain project, kick off, and closing files.
  9. Update, generate and distribute land acquisition status reports.
  10. Create PO as directed by Director of Entitlements
  11. Administrative tasks such as filing, photocopying, scanning, distributing documents, word processing, organizing binders, etc.
  12. General Administrative Tasks for the Land Department
  13. Other duties and special projects as assigned.

Desired Qualifications:

  • Over 2 years of experience in land, engineering or accounting administration preferred.
  • Knowledge of Business English and related correspondence formats; requires extensive follow- up on all correspondence.
  • Strong Computer skills; proficient in Excel, Word, Outlook, and PowerPoint
  • Strong Oral/Written Communication and Interpersonal Skills
  • High degree of professionalism; ability to communicate with confidence.
  • Self-directed; takes initiative, proactively addresses problems; can work with minimal oversight
  • Highly organized and flexible; with the ability to prioritize multiple projects and meet deadlines, often with frequent interruptions and changing circumstances, in a high-volume fast-paced work environment
  • Ability to flourish and navigate in a team environment.
  • Strong Attention to detail

Typical Physical and Mental Demands:

  • Must be able to read, write, and speak fluently in English.
  • Employees in the position are required to be able to hear and have vision sufficient to utilize all office equipment.
  • Use of hands and fingers is required to utilize standard office equipment.
  • Use of feet and legs required to walk, climb, and maneuver within construction sites.
  • Requires occasional lifting up to 50 pounds.

Working Conditions:

Work is generally performed a typical office environment and may involve the use of standard office equipment. Fast paced environment subject to numerous schedule and priority change and short notice activity.
